Many of the world's largest superyachts use Voly yachting accounting software.

Full disclosure: I am NOT an accountant! In fact, few things scare me more than…accounting. But after getting to know Ian Flanagan (an ex-professional tennis player who also happens to be the founder, and CEO of Voly Yachting ) I know I’m not alone. In fact, Flanagan and his Voly team developed a proprietary yacht accounting software to help people just like me…sort of!

Actually, Voly’s specialized yacht accounting software was specifically developed to help people with way more resources than a humble yachting journalist . In fact, Flanagan started the company after retiring from what he calls a “semi-successful professional tennis career” to help superyacht captains, crew, yacht managers and owners easily allocate and track the significant expenses that come with running some of the largest and most expensive yachts on the planet.

“I invested in a bunch of stuff after my tennis career was over,” Flanagan says. “Including a financial services company that had a prepaid MasterCard.

“As a result of that, I soon met bunch of superyacht captains who said: ‘Look, the card is fine. But we really need something to deal with these budgets.’ That makes perfect sense because a captain that’s capable of docking a 100-meter boat in a tight anchorage is rarely going to be a highly trained CFO. And since there are lots of large yachts with multi-million dollar yearly operating budgets, I saw a need.

“Somehow, I came up with the idea to build a platform that would integrate our prepaid card with all the necessary banking along with our own full accounting systems because I thought we’d really have something if we could make it easy for captains and crew to use the system on the front end with an all-in-one platform that is one version of the truth. And be really robust on the backend so the CFO-types who look after the assets of some of the wealthiest people in the world would have the tools and reports they needed too.

“So, I invested all my money. Then we spent six months building the structure and layered permissions and approvals process into the software so a captain and the yachting team can easily manage all their expenditures while the owner’s financial team on land can have easy access and control as well.”

The result is actually quite elegant in its simplicity. An integrated Voly Prepaid Mastercard allows every transaction the captain and crew make to be automatically uploaded to the accounting software. While the software allows the family office to track all expenses in real time as well easily adding to the available funds on the card with direct bank transfers plus foreign exchange capability all in one place.

“We now have about 1,400 yachts that use our systems,” Flanagan adds, “and 82% of the yachts over a 100-meters-long use a Voly Group product.” They’ve also acquired Pinpoint Works—a project management software solution designed to streamline complicated yacht work list management, refits and boat builds. And they are looking at other companies to buy because Flanagan believes his solutions could bring similar benefits to family offices who manage property, aircraft, yachts, fine art and even thoroughbred horses, with his objective to consolidate the technology solutions within the industry.

And he’s working on a similar service for the entertainment industry too.

An in-depth guide to Yacht Accounting

Accounts Administration

All our vessels are assigned a personal Yacht Accountant who is the contact for all of the day-to-day accounting needs, building up a professional and personal rapport with the Owner, Captain and crew.

Designated bank accounts are opened for the yacht in either Euros, USD or GBP depending on the Owner’s requirements and sailing schedule.

The main accounting software program we use is Visma. This is a powerful multicurrency accounting software which allows us to enter transactions from any currency in the world and generate audit-ready reports in the currency of the Owner’s choosing. Ready to fit into the Owner’s global requirements.

We are always looking at the latest innovations to streamline our workflow, and we are currently in the process of implementing new software which will enable Captains and crew to record all cash and card transactions using their smart phones. The reports are sent to the yacht accountant on a weekly/monthly basis. Saving the time it would normally take to send paper accounts via courier, helping us to produce monthly reports even faster.

Owners want a clear overview of expenditure, so they know exactly how much the annual operation budget is going to cost to run the vessel.

At Wilson Yacht Management Group, we split the annual budget into three separate cost areas:

1. Operational costs

At the start of each year, we calculate a new budget for operations based on the previous year’s accounts and agreed cruising schedule. This includes input from the Captain and is always approved by the Owner before implantation.

2. Refit Cost

Agreed by the Owners and scheduled in advance, our team oversee the costs (barring any unexpected expenditure) to ensure all works come in on budget.

3. Non-budgeted costs

This includes the Owner’s cruising costs which are based on charter APA calculations, new purchases (items bought at the Owner’s request above normal maintenance) and legal and professional charges.

Oversee payment of invoices

Once an invoice has been verified and approved by the Captain, Owner or Manager; we make sure it is paid promptly to maintain a positive relationship with our suppliers and creditors.

Depending on the origin of an invoice and its amount, we can use a variety of different banking systems so that it is paid in the most cost-efficient way.

Arrange for cash to be available

Due to money laundering regulations, it is increasingly difficult to transfer physical cash for use on board. This can now only be done using approved agents; however, amounts are limited and fees are expensive.

It is more cost effective to issue pre-paid debit cards which are topped up when necessary. Cash can be withdrawn from ATMs and banks. These are also a good way to control the budget. All expenditure is verified and reconciled against card statements.

Cash is counted and verified at the end of each month.

Payment of captain and crew salaries

WYM employ all crew on Private or Commercially registered yachts under MLC (Maritime Labour Convention) regulations.

All crew are issued an SEA (Seafarers Employment Agreement) when joining the yacht and wages are paid from a designated USD/EUR offshore crew account in the Channel Islands.

Monthly management reports

Compiled to audit-ready standard, we track all on-board expenditure on a month-by-month basis – including:

• Crew Expenses
• Non-budget Items
• Refit Expenses

Presented in a clear and concise budget report, we highlight the budget vs actual spend – including an explanation of any under or over-spending.

A trial balance sheet, profit & loss and balance sheets are produced on a monthly basis.

Copies of all invoices, card and cash receipts are kept in house and archived for 7 years. Originals are sent to the owning company for their records.

Review all suppliers and services

We review all invoices for the yacht’s supplies and services to ensure accuracy and that a competitive rate is being charged.

By adopting this personalised approach, we can gain access to services for highly-competitive prices.

Arrange charter APAs for Captains

Many of our Owners engage in the lucrative market of chartering their yacht. Whilst WYM are not charter brokers, our accounts team are highly experienced in managing all aspects of the contract.

We produce detailed reports which give the Owner an instant overview on how much has been earned at any given time.

In recent years, we have created a comprehensive system for managing the APA (annual provisioning allowance). We work with Captains on a daily basis to ensure there is no over-spending, and we closely monitor all invoices and disbursements for any goods or services.

Our Marine Accountants don’t just track and verify billing and spending on your yacht, they provide fully transparent financial administration, reporting and access to the book keeping system and the yacht’s bank accounts 24/7 for the most informed and timely decision-making.

Yacht Accounting and Book keeping

Crew credit cards, client reporting - monthly/quarterly and annual reports, crew payroll (excluding any offshore company charges), world wide petty cash transfers, budget management, on board accounting software and training, invoices - verification and payment, client bank accounts - set up and maintenance.

Yacht Accounting and Bookkeeping JMS offers a wide range of yacht financial administration services to help Owners and Captains with the management of their yacht. We use the latest accounting software to have an all encompassing system which is used by the captain and crew, our shore based team, our accountants and the bank. Total transparency is offered. We can offer the owner or his office access to see the yachts accounts and bank accounts 24/7. The system is designed to lighten the burden for Captains and Owners of book-keeping and reporting whilst maintaining the high standards needed for the efficient running of a yacht. Monthly / quarterly and annual accounting reports will be provided.

Budget Management Working with the Owner and the Captain, JMS Ltd provides a tailor-made Annual Budget. The budgets are as detailed or as top-line as the Owners and Captains demand but will normally incorporate an operational profile of the vessel. Once the final figures are approved by the Owner, a Cash-Flow Projection is drawn up and fund requests are made by the Yacht Manager accordingly. All budgets are monitored against the actual expenses and detailed monthly reports are provided to Owners and/or Captains for monitoring. This is a service gives Captains and Owners control of the yacht and its expenses without losing time on all other aspects of the management.

Setup and Maintain Client Bank Accounts A client account can be opened in any currency requested, and JMS Ltd will control and manage the account, ensuring the influx of management funds are disbursed to the yacht and her creditors correctly and on time. The account is maintained in credit at all times in accordance with the budget.

Crew Credit Cards Credit cards and/or Debit cards can also be provided to the Captain and Crew. The accounts are monitored through monthly audits and original receipts are provided to reconcile the account. If a credit card is supplied, funds equivalent to the credit limit are held and maintained in Escrow.

On Board Accounting Software and Training The latest accounting software programme is used by JMS Ltd for maximum accuracy and reporting for all your financial administration needs. The programme provides maximum efficiency as it is used by the crew, JMS and our accounts as well as the bank (each with their appropriate security and level of access). To enable the Captain to access and view real-time records of the day-to-day accounts, full training is offered by our account specialists in its use and understanding. To provide total transparency the owner and /or his team can be given 24/7 access to the yachts accounting system and bank accounts.

World Wide Petty Cash Transfers JMS Ltd works with Captains to ensure Worldwide Petty Cash Transfers in any currency can be made from the yacht’s management account direct to the Captain as and when required.

Verification and Payment of Invoices All invoices received by JMS Ltd will be verified and checked with the Captain and paid on our automated wire transfer system to decrease transfer costs.

Reporting At the end of the month JMS Ltd. provides the Owner with detailed monthly account reports. These Reports not only show in detail the expenditure for the month but, also a comparison review against the set budget. An Annual Review of the accounts are undertaken to ensure they are in compliance with the original agreed budget and, if required, an Annual Audit can also be performed. Training can also be given to the Captain (for all financial administration) to ensure he/she is familiar with the accounting methods and policies operated by JMS to ensure timely and informative reporting to the Owner.

Crew Payroll JMS Ltd. can assist with the payment of all crew salaries. With the Captains input, salaries are calculated taking into account any onboard cash advances, holiday pay and expenses. To protect the owner and to ensure compliance with social security regulations it is highly recommended to pay Crew from an offshore employment company. This can be arranged by JMS Ltd. through a separate service.
